Privacy Policy

SportsTownHQ is a registration, ticketing and team-management platform for youth sports organizations. It is operated by BettsNation LLC ("SportsTownHQ", "we", "us"). This policy explains what we collect, how we use it and the choices you have.
Two kinds of information
- For organizations. When you register a team, buy tickets or opt in to messages for an organization (for example, a tournament organizer), we handle that information on the organization's behalf, to run its events. The organization's own privacy policy also applies, and its forms link to it.
- Our own. Your SportsTownHQ account, and how you use the site, is information we are responsible for directly.
What we collect
- Account and contact details: name, email address and mobile phone number.
- Registrations: team name, division, organization, and the coach or organizer's details.
- Players and rosters: players' names and jersey numbers. Where a team or organization manages its roster here, it may also record a player's birthdate, gender, medical notes it needs for safety, photo/media permission, and which parent or guardian is linked to the player.
- Payments and tickets: what was bought and whether it is paid. Card payments are processed by Stripe; we never receive or store full card numbers.
- Consent records: what you agreed to (for example, emails or texts from an organization), the exact wording you saw, and when.
- Messages you send or receive through the platform.
- Technical data: basic logs and the cookies needed to keep you signed in. We do not use advertising cookies.
How we use it
- To run registrations, ticketing, rosters and payments for the organizations you deal with.
- To send you what you asked for: confirmations, receipts, sign-in links and, if you opted in, an organization's event updates by email or text.
- To keep the service secure, fix problems and meet our legal obligations.
Who we share it with
We do not sell personal information. We share it only:
- with the organization you registered with or bought from;
- with service providers that run parts of the service for us, and only for that purpose: payments (Stripe), text-message delivery (Twilio), email delivery, and hosting;
- when the law requires it.
Text messages (SMS)
- We send texts only on behalf of an organization you opted in to, only to the number you gave when you opted in, and only about what the opt-in described.
- Opting in is always optional and never a condition of registering or buying anything.
- Message frequency varies. Msg & data rates may apply. Reply STOP to opt out, or HELP for help.
- Mobile phone numbers, and text-messaging opt-in data and consent, are never sold or shared with third parties or affiliates for their marketing or promotional purposes. They are shared only with the service providers that deliver the messages.
Children
Accounts, registrations and payments are completed by adults: coaches, organizers and parents or guardians. Information about a player is entered by those adults, not by the child, and each organization should collect only what its events need. Tournament registration asks only for a team and its coach; rosters hold names and jersey numbers, and any further details (such as a birthdate or medical note) are added only where an organization or team manages its roster here. We do not knowingly collect personal information directly from children under 13. A parent or guardian can ask us to review, correct or delete a child's information at the address below.
How long we keep it
We keep information while an organization needs it to run its events and while we need it for legal, tax and dispute purposes. After that we delete it or make it anonymous.
Your choices
- Emails: use the unsubscribe link in any marketing email.
- Texts: reply STOP.
- Your information: to see, correct or delete it, email us. For information held for an organization, we will work with that organization to respond.
Security
We use established providers, encrypt connections, and limit access to the people who need it.
Changes
If we change this policy, we will update the date at the top of this page.
